The role of Executive Assistant (EA) provides dedicated support to the Managing Director (MD) and the senior management team. The EA is the first point of contact and responsible for providing the full spectrum of confidential and administrative support to the Managing Director and the wider senior management team. They’ll be working within an environment which requires an efficient approach where tasks can change on a day-to-day basis.

Duties Include

  • Providing comprehensive, confidential administrative support to the MD and Directors
  • Organising meetings and events including travel arrangements, accommodation and itineraries
  • Preparing agendas, taking meeting notes, and circulating minutes to all parties
  • Collating and distributing reports and documents
  • Proactive diary, meeting and email management for the MD
  • Dealing with client enquiries with professionalism, courtesy and efficiency
  • Reviewing and preparing documentation for signature
  • Working together with the office management/finance team to achieve KPIs

Essential Skills

  • Minimum of two years’ experience in a PA or EA role
  • Excellent organisational skills and be able to multitask
  • Be flexible and adaptable to meeting deadlines
  • Accurate typing skills and a high level of proficiency in Microsoft packages with an ability to learn any company specific software
  • Excellent attention to detail, with the ability to maintain a high level of accuracy
  • Excellent written and verbal communication skills. Ability to respond to all correspondence on behalf of the MD and senior management team
  • Ability to prioritise workload, work under pressure and on own initiative and work effectively as part of a team
  • An approachable and professional personality with a willingness to take on general administrative tasks
