The role of the Management Assistant provides dedicated support to the Operations team and Directors. You'll be working within an environment which requires an efficient approach where tasks can change on a day-to-day basis.

Skills & Experience Required

  • Excellent written and verbal communication skills
  • Ability to communicate effectively and politely
  • Fast and accurate typing skills, high level of proficiency in Microsoft packages
  • Ability to prioritise workload
  • Ability to work effectively with other staff and as part of a team
  • Ability to work on own initiative
  • Ability to work calmly under pressure
  • Previous office-based experience is essential

 

Role Specific Requirements

  • Welcome visitors to the office and take switchboard calls
  • Maintain office supplies
  • Respond to customer correspondence and enquiries
  • Support Directors in their roles as and when required
  • Provide weekly reports for Directors
  • Coordinate diary entries for regular meetings (Board, Sub-Board, Regional Updates)
  • Organise legal documents to be reviewed by Directors and project team
  • Assist the Group Office Manager in ensuring all HR and Health and Safety records are kept up-to-date
  • Assist the Group Office Manager with HR and H&S functions
  • Assist the Group Office Manager in ensuring full compliance of all QMS policies and procedures
  • Assist in implementing and maintaining the QMS procedures and office administrative systems
  • Assist with maintaining contact register
  • Assist with approving employee expenses
  • When required, to assist with creating invoices
  • Assist with marketing activities which includes digital platforms
  • Assist with organising events including hotel bookings and travel
